Administrative Specialist I
Perform office/administrative support duties and specialized program support for a department, or program unit. Perform a wide range of administrative duties including preparing statistical reports and spreadsheets, handling information requests, planning meetings, prepare and distribute meeting minutes, providing purchasing and payroll support, fulfilling employment administration requirements, preparing travel documents, and maintaining calendars and schedules. Serve as a liaison to other departments.
Bachelor’s degree and two (2) years of administrative support experience – or – high school diploma and six (6) years of administrative support experience.
Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy. Experience managing a budget and with multiple deadlines. Excellent oral and verbal communication skills. Ability to work across teams and with a variety of projects and constituencies. Proven office administration and customer service skills.
Working knowledge of office processes and business policy development and of related computer software and electronic communications tools. Ability to apply standard administrative principles to solve practical problems, examine data; read and write reports and correspondences; use appropriate spelling, punctuation, and grammar; speak clearly and audibly; organize work efficiently; operate standard office equipment (ie: photocopiers, fax machines, document scanners); provide courteous customer/interdepartmental service. Ability to multi-task.
Must be able to travel for meetings, conferences, and training. Must be self-motivated. Must have the ability to be composed at all times. Must have the ability to sit and work at a computer for extended periods of time. Work environment: The noise level in the work environment will be moderate.
